Our international and English-language kindergarten in the Düsseldorf district of Niederkassel looks after children from the age of three. In a modern new building, the children prepare for primary school in different age groups and spend their kindergarten time in an enriching environment, which is characterised by cultural diversity, excellent international kindergarten education as well as loving and individual care and support.

English is taught exclusively by native speakers; German is also a part of the preschool curriculum, so that the children grow up in a multilingual environment.

The Office Administrator is involved in administrative and organisational tasks. They work closely with the Administrative Assistant, Management team and wider Staff, as well as other ISR departments including Marketing, Accounting, Admissions and Registrars. The Office Administrator is responsible for the general operation of the front office. Duties will involve greeting visitors/parents, answering incoming phone calls and emails, ordering office and kindergarten supplies and keeping a proper inventory.


Aufgaben

Administrative Tasks

  • Coordination of administrative procedures and systems
  • Streamlining processes and optimisation where feasible
  • Handling enrolment of children
  • Maintaining pipeline as well as digital info/data on official platforms/sites
  • Managing all requests from parents, staff and Management
  • Translating of documents and interpretation during meetings
  • Carrying out clerical tasks and administrative procedures
  • Compiling weekly ISR News
  • Drafting the Kindergarten calendar
  • Executing various day to day administration tasks
  • Working closely with the Marketing-, Admissions-, Accounting- and Registrars- Management Team of ISR

Organisational Tasks

  • Bookings for team events/meetings
  • Organising staff orientation at the beginning of the year
  • Assistance with Kindergarten events
  • Ensuring the smooth and adequate flow of information within the Kindergarten
  • Monitoring of inventory of office/kindergarten supplies
  • Overseeing of the maintenance and cleanliness of the kindergarten

Parent Communication

  • Handling requests from potential new families
  • Giving tours of the Kindergarten to interested families
  • Dealing with parents' requests and as needed, passing these queries onto the team/management
  • Liaise between the parents and the educator team to ensure a seamless transmission of information

Profil
  • Excellent command of written and spoken German and English
  • Successfully completed commercial training or university studies
  • Three years' experience in administration preferred
  • Ability to work under pressure in a fast-paced environment
  • A high degree of communication skills and a friendly approachable manner
